Conference Coordinator
Posting Summary
Serve as member of "one-stop shop" conference service team, making project management decisions and providing logistical coordination and implementation in support of conferences/events for the department of University Event Services. Provide logistical coordination for multiple projects in varying platforms (in person, virtual and/or hybrid) at differing stages of development and strategic oversight for new one-time and annual internal and external conferences and events which may include budget development and oversight; negotiating with, contract with and provide financial reconciliation of vendors; facilitate print and digital material process; menu planning and development in partnership with caterer appropriate for event/conference; provide onsite event support; and financial close out. Collaborate with departmental registration, web development and production teams, and other campus service providers. conferences/events/programs. Determine and ensure accurate price structure and prepare cost analysis to generate revenue for and cover costs for potential and returning conferences/events. Actively engage in learning and practicing principles of industry standards and best practices, social justice and inclusion, environmental sustainability and delivering great customer experience. Report to the Conference Coordinator Manager. This is a bargaining unit position. This position is represented by the UVM Staff United Professional and Staff Bargaining Unit.
Minimum Qualifications (or equivalent combination of education and experience)
Bachelor's degree in related field and three years' experience required. Effective interpersonal, communication and analytical skills to relay and accurately convey University policies and procedures to clients. Ability to coordinate multiple projects at various stages of development. Demonstrated project and resource coordination skills. Experience with various software programs, including MS Office. Must have a valid driver's license, good driving record, take University vehicle training, and be able to operate University vehicles. Demonstrated ongoing commitment to workplace diversity, sustainability and delivering exceptional value and great experience for customers. Some early morning, night, and weekend work is required.
Desirable Qualifications
Knowledge of software programs used for conferences such as scheduling and diagramming software. Knowledge of local conference center facilities. Knowledge of virtual/hybrid event logistics and coordination. Certified Meeting Planner (CMP) and/or Collegiate Conference and Event Professional (CCEP) credentials.
Anticipated Pay Range
$55,000 - $62,000
