Job Description
The Compliance Assistant is responsible for providing administrative support to the compliance team comprised of the Director of Compliance and two Compliance specialists. This full-time position requires professionalism, discretion, and the ability to work independently. The ideal candidate is detail oriented, communicative and can multi-task effectively.
Essential Duties and Responsibilities
- Prepare recertification packages for mailing and sending notices to tenants.
- Prepare and mail letters to potential tenants for available units and monitor responses.
- Meet with residents/applicants to obtain signatures on certification/recertification paperwork as needed.
- Sending third-party verifications, regularly checking for outstanding paperwork and following up on it being returned, and also following up with agencies/individuals to ensure verifications are received in a timely manner.
- Gather information from applicants (bank statements, ID’s, tax returns, paystubs, medical bills, etc.) as necessary to assist with the preparation of Tenant/Applicant Income Certifications.
- Prepare and send annual utility releases and liaise with utility companies to obtain annual usage.
- Manage RuralEdge’s waitlists purges and updates.
- Provide back up assistance to the Main Office Administrative Assistant with processing rental application intakes for approval denial or incomplete applications.
- Provide backup to the Main Office Administrative Assistant during absences to answer telephones and route calls to the appropriate party using a cloud-based phone system.
- Interact with staff, residents and the general public in a professional, respectful, courteous manner.
- Comply with all company directives on personnel, accounting, purchasing and maintenance.
- Participate in assigned activities in support of RuralEdge & Property Management Division’s mission and goals.
- Pursue a variety of marketing efforts, including mailings, fliers, social media, on-line and print advertising.
Qualifications
- Two (2) year degree or equivalent work experience; minimum of 1 year of clerical or administrative support experience is preferred.
- Strong verbal and written communication skills
- Demonstrated ability to handle confidential information with discretion
- Excellent organizational skills and attention to detail.
- High degree of proficiency in Microsoft Office (Word, Excel, Outlook, Publisher) and cloud based systems
- Self motivated with the ability to learn quickly and independently
- Ability to work cooperatively, effectively, and efficiently with a diverse group of people in a team environment; ability to multi-task; position requires professional conduct at all times.
- Ability to travel for job performance; possession of a valid driver’s license, a good driving record, and automobile insurance per State of Vermont.
