Job Description
SITE COORDINATOR
Anticipated Schedule: EPIC follows the school calendar. There is also a 6-week summer program (School year hours are ~ 10-15 hrs per week; Summer can be ~ 40 hours per week).
Requirements: Bachelor’s Degree with Vermont Teacher License, or equivalent experience working with youth in a public school or other setting that meets VAE/School standards.
Supervision and Evaluation Provided by: Executive Director
Responsibilities:
- Represent the EPIC Program in a positive and professional manner.
- Develop and maintain a high-quality program where youth are safe and able to learn.
- Establish, promote and support a positive, welcoming environment for youth, families and staff.
- As a member of the Leadership Team of the Tapestry & EPIC Programs, Site Coordinators will
- Attend and participate in all Leadership meetings.
- Coordinate monthly staff planning meetings, to include an agenda and minutes.
- Coordinate the program calendar, for the month, school year and summer.
- Provide information needed for program guides, and other communications for community outreach.
- Distribute promotional material for each session (School Year, Summer).
- Obtain staff documentation of professional development hours, CPR/AED/FA certification, other as required by VAE/school regulations.
- Plan and implement community engagement activities at least twice per year.
- Plan participation in and representation of EPIC in Back to School Night and other student-facing school events.
- Secure and oversee space for the program in the building depending on session needs.
- Develop the staffing model and ensure program coverage each week is in place to actively engage with and supervise youth in in the program.
- Submit weekly timesheets that are complete, accurate and signed.
- Establish a system of communication in and outside of the program that includes cell phone and radios.
- Coordinate session plans with staff that include expanded learning opportunities that are enriching, community oriented, field-based, academic, recreational, and/or provide new experiences for youth.
- Encourage staff to develop and implement activities that utilize his/her talent and expertise.
- Coordinate library/tutoring options at your site that create a suitable learning environment.
- Encourage youth, community members, volunteers, and/or partners to offer enrichment programming for youth, or collaborate with developed offerings.
- Create an atmosphere that supports students with a system of behavior management that aligns with school initiatives. Provide clear expectations to staff for youth interactions that will be positive and follow the plan.
- Establish and maintain open lines of communication between youth, staff, families, and administration at host school.
- Participate in program SEL-PQA, surveys and other data collection.
- Develop an annual action plan using SEL-PQA, surveys and other data. Monitor progress toward goals and objectives through the year, sharing data with program staff quarterly.
- Coordinate and work with the Tapestry and EPIC Office in the marketing and advertising of the site.
- Know all safety and emergency procedures (see site specific plans) and implement at least two drills annually (one in summer, one in school year).
- Assist with recruiting, interviewing, hiring and orientation of new staff for the program and site.
- Provide documentation of professional development activities through the year. (A minimum of 12 hours.)
- Provide supervision to all staff and volunteers on a daily basis, including annual evaluation.
- Arrange for set-up, clean-up and all logistics for professional or contractual services that may come to the site.
- Facilitate safe dismissal and proper supervision of all students.
- Notify the Tapestry EPIC Office/Executive Director when going to be out and arrange for coverage.
- Follow purchasing requirements as directed by the business office.
- Follow procedures and updates as identified in staff handbook or memos.
- Other duties and responsibilities as assigned.
