Job Description
The Operations Manager will support the organization in:
● Developing and supporting operational policies and procedures and systems
● Developing budgets, track and report budget versus actual
● Coordinating recruitment, managing all onboarding, offboarding and Leave of Absence
processes
● Manage the day-to-day administrative operations
● Responsible for assuring compliance and policy, partnering with the Director of
Emergency Services and key strategic initiatives for the organization
Essential Duties
● Provides efficient and effective delivery and integration of all administrative services
● Manage and administer various emergency services platforms
● Serves as the point of contact for service providers (e.g., HR, IT, Procurement, and
Insurance), ensuring that providers are apprised of organizational needs and relevant
information and acting where needed
● Monitors the adequacy of service delivered by outside providers
● Escalates issues or concerns related to administrative and operational services to the
Board of Directors
● Implements and ensures strong internal controls in areas assigned
● Takes corrective action to protect assets, resources, information, and reputation
● Ensures all Human Resources functions comply with current and applicable federal
and state regulations including but not limited to VOSHA, FLSA, HIPAA, etc)
● Ensures benefits plans are administered correctly and in compliance with all laws and
regulations
● Maintains personnel files
● Assesses the financial and non-financial resources available to achieve its goals, e.g.,
funding, space, technology, staff capabilities, and capacity. Recognizes and raises
potential issues, ideas and solutions to the Board of Directors
● Administer and process payroll and related reporting such as workers compensation
audits and discrimination testing
● Provides comprehensive financial information, analysis, and reporting to monitor and
evaluate the performance against budget
● Oversee daily financial monitoring and processes transactions per policy
● Assures the timely reimbursement of patient transport billing revenue
● Provides financial support to the Board of Directors and Director of Emergency
Services
● Prepares all fund budgets, including gathering historical information, providing
analysis
● Works with independent auditors to ensure accurate reporting and tax preparation
● Identifies, communicates, and addresses issues/concerns promptly and appropriately
● Escalates issues to the Board of Directors as appropriate
● Recommends adjustments in wage rates to the Board of Directors in conjunction with
the Director of Emergency Services
Preferred Education, Experience and Skills
● Bachelor’s degree and minimum three years of related experience
● Demonstrated leadership, business and human management and/or supervisory
experience; or equivalent combination of education and related experience
● Ability to work independently and with a team
● Working knowledge of accounting, financial reporting and analysis
● Experience preparing budgets, forecasts and financial plans
● Demonstrated experience in managing relationships
● Demonstrated creativity and effectiveness in a complex organization
● Experience in navigating organizations through leadership changes is preferred
Required Skills/Abilities
● Exhibit professionalism and high level of discretion
● Knowledge of business software and aptitude for learning new applications
● Proficient with GoogleWorkspace preferred
● Proficient with QuickBooks Online
● Ability to establish priorities and follow through on projects, paying
close attention to detail with minimal supervision to complete assignments under time
constraints
● Well developed interpersonal skills. Ability to form strong working relationships with
staff, leadership and other stakeholders
● Demonstrated organizational, planning, decision-making and problem-solving skills
● Proficient written and verbal communication skills
● Demonstrated ability to manage time and resources effectively, measure
and monitor progress and redirect efforts as needed
● Demonstrated proficiency with database management
