Job Description
The Mt. Abraham Unified School District has an immediate opening for a full time, year round Administrative Assistant to join our central office team located in Bristol, Vermont.
Summary of Responsibilities:
The Administrative Assistant provides comprehensive administrative support to the Director of Student Support Services. This role plays a key part in ensuring the smooth day-to-day operations of the department and in maintaining compliance with state and federal regulations. The ideal candidate will be highly organized, detail-oriented, and able to manage multiple tasks and deadlines in a dynamic environment.
Primary Responsibilities (Essential Functions):
• Serve as Medicaid clerk, ensuring compliance with reporting and documentation requirements.
• Support the calendar and daily schedule of the Director of Student Support Services.
• Act as a liaison between faculty, parents/families, and school administration to facilitate effective communication.
• Perform bookkeeping and financial tracking tasks, including entering requisitions, processing purchase orders and invoices,
submitting reimbursement requests, and preparing documentation for the business office.
• Collect and organize supporting documentation for the SEER Report submitted to the Agency of Education (AOE).
• Maintain and organize a variety of electronic and paper-based departmental files and records.
• Order and manage inventory of office and instructional supplies for special education and preschool staff.
• Train and support staff in the use of IEP management and Medicaid electronic systems.
• Generate reports for the Director, Agency of Education, and the business office as needed.
• Coordinate programming with related service providers, occupational therapy (OT), and physical therapy (PT) providers.
• Schedule and oversee transportation arrangements for students in collaboration with schools, families, and contracted providers.
• Coordinate the planning and scheduling of Extended School Year (ESY) services.
• Perform other duties as assigned by the Director.
Physical Demands:
This is largely a sedentary role; however some filing may be required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary. This position may require travel for food served during meetings and training.
Work Environment:
This position is located in the front office and operates in a professional office environment. This role routinely uses standard office equipment. The office hours are Monday - Friday, 8 am to 4:30 pm.
The pay range is commensurate with experience per the Non-Union Support Staff Agreement and Compensation Plan Group 1.

Job Requirements
- An Associate’s degree is desirable. More experience may be substituted for formal education.
- Previous employment in a school setting is preferable.
- A high level of organization and attention to detail.
- Operating knowledge of Google Suite, Microsoft Office and database software.
- Ability to develop proficiency in new and emerging software programs and technical devices.
- Strong verbal and written and communications skills.
- Strong collaborative skills.
- At least 1 year(s) of relevant experience preferred.
- Associate degree preferred.
- Citizenship, residency or work visa required
